Running Club Check-In (“we”, “us”, “our”) provides software to help running clubs manage attendance and member welfare.

  • Running clubs using the platform
  • Club administrators
  • Club members whose data is entered into the system

3. Our role

Running Club Check-In acts as a data processor.

The running club using the platform is the data controller and is responsible for how member data is collected and used.

Depending on how the club uses the system, this may include:

  • Name
  • Email address
  • Phone number
  • Emergency contact name and phone number
  • Attendance records (check-ins)

We only store the data that clubs choose to enter.


5. How the data is used

Data is used solely for:

  • Managing club attendance
  • Supporting member welfare (e.g. identifying absence)
  • Providing reporting and insights to the club

We do not use this data for marketing, profiling, or resale.


6. Legal basis

Clubs using the system typically rely on legitimate interest to manage their members and activities.

Running Club Check-In processes data only on the instructions of the club.


7. Data access

  • Data is only accessible to authorised club administrators
  • Running Club Check-In does not access or use member data unless required for support purposes

8. Data sharing

We do not sell or share personal data with third parties.

Data may be stored on secure hosting infrastructure necessary to provide the service.


9. Data retention

Data is retained:

  • For as long as the club uses the service
  • Until the club deletes it or requests deletion

Clubs can request full data deletion at any time.

Individuals have the right to:

  • Access their data
  • Request correction
  • Request deletion

Requests should be made through the running club (data controller) in the first instance.

We take reasonable technical and organisational measures to protect data from unauthorised access, loss, or misuse.
